Background:

The IAB is the not-for-profit trade body for the digital advertising industry with members from some of the biggest companies in the world including Google, Facebook and Twitter. Our mission is to build a sustainable future for digital advertising. We do this through a range of activities including events, training, research, setting standards, helping the industry to remain self-regulated and more.  

Ways of working:

The IAB works in a very open and collaborative way. A team of 25, we have regular all-company meetings, project teams composed of people from different departments, as well as a strong sense of teamwork within each department. We encourage our people to be entrepreneurial and feel empowered to drive change and come up with ideas for new projects and initiatives. We are currently working flexibly, but our office is in Covent Garden. We encourage hot-desking and actively support flexible working.

The role:

The Marketing Assistant forms part of the Marketing Department and will report directly into the Marketing Manager but work alongside the entire Marketing team. The last 18 months have seen the IAB pivot our events into an entirely virtual offering, but we’re returning to in-person events in 2022 - the first confirmed for early March. In 2022, we expect to run 6 - 10 large scale events, with a combination of conferences, round-tables, forums and some virtual events. 

 Our events programme gives our members the opportunity to take to the stage to present and discuss topics covering digital advertising top trends, themes, challenges, initiatives, research and product launches. The role will support the Marketing Manager in the delivery and marketing of the IAB’s event offering, pre, during and post-event, assist in briefing and liaising with speakers and manage any event admin. 

The role is a full-time, permanent contract.

  • Assist the Marketing Manager with the running of IAB UK events:

- The Marketing Manager will support the assistant with all tasks and be on hand round the clock to ensure all responsibilities are clear and workload is at an attainable level  

  • Assist in briefing event speakers:

- On-boarding and confirming speakers alongside the Marketing Manager

- Setting up briefing calls 

- Sending reminder emails to speakers and ensuring contributors are fully prepared

- Managing calendar invites for events

- At the IAB we pride ourselves on ensuring our events are diverse, the Marketing Assistant will assist the Marketing Manager in ensuring our events represent a range of voices and perspectives both when onboarding speakers as well as briefing speakers
 

  •  For in-person events, assist the Marketing Manager and Head of Marketing in pre-event administration & on-site duties:

- Liaising with event venues, caterers, AV companies and other suppliers 

- Coordinate speaker time-slots

- Attend events in-person to coordinate and brief speakers

- Meet and greet guests during the event 

- Assist in branding events; liaising and booking print jobs and assisting Marketing Manager in proofing any collateral 

- Alongside the Marketing Manager act as main point of contact for event sponsors and collating detail surrounding their sponsorship for the website, social media, emails & on-site branding

- At the IAB we aim to be more sustainable with our events, the Marketing Assistant will be a core part of coming up with ideas on  how our events can have less of an impact on the environment

  •  Assist Marketing Manager with sending the web team event details:

- Follow up on speaker headshots, biographies, logos etc

- Ensure all events are kept up to date on the IAB website

- Help the Marketing Manager fill in any gaps in event schedules 

  • Ensure the IAB team are kept up to date with all things events:

- Adding events to the team’s calendars

- Support the Marketing Manager in managing the Events email inbox

- Assist with IAB team roles & responsibilities at events

  • Oversee attendee communications:

- Manage pre-event emails and data, ensuring the CRM is kept up to date

- Manage attendee communications post-event by sending feedback emails, pulling attendee reports and sending no-show follow-ups 

- Assist Marketing Manager in pre-event advertising 

  • Design & copy-writing:

- Assist Marketing Manager and Communications team in creating promotional assets for events and project launches

- Assist in writing copy for website; event listings, advertising campaigns

- Assist Marketing Manager in creating Powerpoint presentations for events and other IAB team members

Skills, qualifications & experience:

Experience working on events, either virtual or physical, would be desirable but not essential

An interest in the events and advertising industries

Excellent written and verbal communication skills

Exceptional organisation - you will probably love a spreadsheet!

Super-keen attention to detail

A team player who can work under own initiative

Working knowledge of Microsoft Office and Google Suite

Knowledge or keen to learn Canva and Photoshop

A positive, can-do attitude and a love for speaking to new people

While we have mostly been working from home for the last 18 months, as an entire company we come into the office every Wednesday and the Marketing team often aim to come into the office two days a week. 2022 will likely see the return of more office time, but as a company with a flexible approach, it is unlikely we will to return to the office five days a week. You will also be expected to attend all in-person events, which mostly take place in London, although some events could take place around the UK, so occasional overnight trips may be expected.
